Assistant Director of Operations, Full-time, Remote

PharmStars is seeking a highly organized, proactive, and detail-obsessed Assistant Director of Operations to support the smooth and efficient execution of our startup accelerator, events, venture fund, and pharma engagement. The ideal candidate is a "tech-savvy doer" who is well organized, thrives in a fast-paced environment, and is eager to support innovation in the digital health ecosystem.

As a vital member of our small, nimble team, you will provide administrative and logistical support to the CEO and other staff. This is a full-time, virtual position, with 4-6 required in-person meetings per year (primarily in Boston).

PharmStars is a unique, virtual accelerator dedicated to fostering innovation in digital health by bridging the gap between pharmaceutical companies and cutting-edge startups. Our mission is to drive the adoption of digital health solutions by pharma to benefit both and improve patient outcomes. Our comprehensive PharmaU program provides startups with education, tailored mentorship, and access to a network of pharma. We also support our pharma members through a robust peer network.

Responsibilities

Program & Startup Coordination:

  • Project Coordination: Assist with project management, track deadlines for various activities, and work with stakeholders to keep initiatives on schedule.
  • Document Logistics: Assist in the management, tracking, and organization of accelerator and fund documentation.
  • Communication: Draft, schedule, and follow up on routine and special outreach to startups, mentors, pharma members, sponsors, partners, and investors.
  • Scheduling: Coordinate the calendaring needed to keep the program running smoothly.
  • Database Maintenance: Maintain and organize program files, databases, and the learning management platform to ensure all stakeholders have access to accurate, up-to-date information.

Operations & Event Support

  • Inquiry Management: Monitor and respond to general inquiries, ensuring a warm and professional first impression for all PharmStars stakeholders.
  • Materials Preparation: Assist in the preparation and polishing of program materials, slide decks, and presentations.
  • Process Documentation: Help maintain our internal coursework, curriculum, and operational systems to ensure our virtual office remains efficient.
  • In-Person Events: Assist with logistical support for in-person events, including managing guest lists, venue coordination, and on-site hospitality.

Qualifications

  • 2+ years of experience in an administrative or operations role, preferably in a fast-paced startup, accelerator, and/or corporate environment.
  • Strong written and verbal communication skills.
  • Excellent attention to detail.
  • Excellent problem-solving skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, OneDrive).
  • Good at working independently and as part of a team.
  • Excellent organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
  • Enjoys new challenges and a dynamic work environment.
  • Experience with event planning and coordination is not required, but beneficial.
